
PAYMENT TERMS AND CONDITIONS
PAYMENT TERMS AND CONDITIONS – Lipa Pole Pole (Flexible Instalments)
- Choose your preferred travel package and receive a quotation based on your selection.
- To secure the package and lock in the prices quoted, a 15% deposit is required at the time of booking. The remaining balance can be paid in flexible instalments as per the terms outlined below.
- A further deposit of at least 35% is required no later than 45 days prior to the scheduled travel date.
- At least 75% of the total package price must be cleared 30 days prior to the travel date to ensure booking confirmation.
- The balance of the payment must be cleared no later than 15 days before the travel date. Failure to settle the balance within this time may result in the cancellation of your booking, and deposits paid may be forfeited as per the cancellation policy.
- If the booking is made within 15 days of the travel date, the full payment must be made at the time of booking to confirm the reservation.
- A higher deposit may be required for specific trips, particularly during peak travel seasons (July to October & Festive periods). You will be notified of any such requirements at the time of booking.
- A confirmation voucher or ticket will only be issued once full payment has been received and cleared by Premier Africa Tours. Without full payment, the booking cannot be confirmed, and services will not be rendered.
TRAVEL TERMS AND CONDITIONS
- Payment Terms
1.1 All prices are nett and exclusive of any bank charges. Any additional charges, including but not limited to transaction fees, will be borne by the customer.
1.2 Payments made via credit card will incur a surcharge of 3.5%.
1.3 Payments for services, including flights and accommodations, must be made in full prior to booking confirmation.
1.4 Flight and train bookings must be paid in full before the ticketing time limit, as stated in the respective airline / train policies. - Rates and Availability
2.1 The rates quoted are based on standard room categories, and are subject to availability at the time of booking. Higher room categories are available upon request and may incur additional charges.
2.2 All quoted rates are subject to change without prior notice, due to fluctuations in exchange rates, tariffs, or supplier pricing.
2.3 Rooms, flights, and other services are subject to availability at the time of booking confirmation. Premier Africa Tours will make reasonable efforts to secure the requested services but cannot guarantee availability. - Changes to Travel Plans
3.1 Any changes to the number of travelers, travel dates, or accommodations after booking confirmation will require a revision of the quote. Additional charges may apply based on shared costs of transportation and other factors.
3.2 The agency reserves the right to revise the itinerary, services, or accommodation based on availability or unforeseen circumstances. Customers will be notified promptly of such changes.
3.3 Customers may incur additional charges for changes or cancellations made after confirmation, as per the terms set by the service providers (e.g., airlines, hotels, and transport companies). - Cancellations and Refunds
4.1 Cancellations must be made in writing and will be subject to the terms and conditions of the relevant service providers, including cancellation fees.
4.2 Refunds for cancellations will be processed as per the policies of the airlines, hotels, or other service providers, and are subject to approval.
4.3 Any refund due to the customer will be processed after deduction of applicable cancellation fees or penalties, as per the third-party providers’ policies. - Transportation and Travel Schedules
5.1 Flight and train schedules, including routes, times, and fares, are subject to change without prior notice. Premier Africa Tours cannot be held liable for any changes or delays.
5.2 All travel documents, including flight/train tickets and visas, must be checked by the customer for accuracy. Any errors in documentation must be reported immediately.
5.3 It is the customer’s responsibility to ensure timely arrival for all flights, trains, and scheduled events. - Travel Insurance
6.1 Premier Africa Tours strongly recommends customers purchase comprehensive travel insurance to cover potential risks including, but not limited to, trip cancellations, medical emergencies, loss of baggage, and other unforeseen events.
6.2 Travel insurance is the responsibility of the customer, and Premier Africa Tours accepts no liability for any issues arising from a lack of insurance coverage. - Liability and Responsibility
7.1 Premier Africa Tours acts solely as an intermediary between the customer and the third-party suppliers, such as hotels, airlines, and tour operators. We are not responsible for any damages, loss, injury, or delay arising from these services.
7.2 The agency will not be held responsible for any loss, theft, injury, or damage to persons or property during the course of the trip, whether caused by the negligence or actions of third-party suppliers or otherwise.
7.3 The customer agrees to comply with all local laws, customs regulations, and health requirements of the destination. - Services Not Provided by Premier Africa Tours
8.1 Any services not arranged or provided by Premier Africa Tours (e.g., hotels, airlines, train operators) are governed by the terms and conditions of the respective service providers. Customers must adhere to these terms when using such services.
8.2 Premier Africa Tours is not responsible for services outside the scope of the contracted itinerary. - Force Majeure
9.1 Premier Africa Tours will not be held liable for any failure or delay in the provision of services due to circumstances beyond its reasonable control, including but not limited to natural disasters, political unrest, strikes, pandemics, or acts of terrorism. - Privacy and Data Protection
10.1 Premier Africa Tours will collect personal data as necessary for booking and processing travel arrangements. All personal information is handled in accordance with data protection laws and is not shared with third parties without the customer’s consent.
10.2 By providing personal details, the customer consents to the collection and use of this data as outlined in our Privacy Policy. - Special Requests and Preferences
11.1 Special requests, including dietary requirements, room preferences, or specific travel needs, will be communicated to the relevant service providers. However, these requests are subject to availability and cannot be guaranteed.
11.2 Any special needs, including medical conditions or disabilities, should be disclosed at the time of booking so that necessary arrangements can be made. - Customer Responsibilities
12.1 Customers must ensure they meet all entry requirements for the destination, including obtaining necessary visas, vaccinations, and any other travel documentation.
12.2 Customers must carry all required documents for the trip, including a valid passport, tickets, insurance, and visa.
12.3 Any delays or issues resulting from a customer’s failure to meet these requirements will not be the responsibility of Premier Africa Tours.
CANCELLATION POLICY
• Cancellations made within 7 days of the departure date are non-refundable.
• Cancellations made between 8 and 15 days before the departure date will be eligible for a 50% refund of the total package price.
• Cancellations made between 16 and 29 days before the departure date will be eligible for a 75% refund of the total package price.
• Cancellations made 30 or more days before the departure date will be eligible for a 100% refund of the total package price, subject to any third-party provider cancellation fees.
